Email Encryption

 

Before You Begin

  • For your protection, Janney uses encrypted email technology (via Proofpoint) to securely exchange sensitive information such as account details, documents, or instructions.
  • The first time you receive an encrypted email from your Financial Advisor, you’ll be prompted to complete a one-time registration process to verify your identity.
  • Once registered, you’ll be able to open future encrypted emails, securely view attachments, and reply directly through the secure portal.
  • You only need to register one primary email address; trying to set up multiple email addresses may cause errors.
  • Be sure to recognize the sender’s name and email address before opening the encrypted message for your security.
  • Have access to your email inbox during registration—you’ll receive a one-time verification code that must be entered within 30 minutes to complete the process.
  • For added convenience, you may also choose to use Janney’s Document Vault within Online Access to securely upload, store, and share documents with your advisor—without needing email encryption each time.

Best Practices: It is recommended that you do not forward emails to any other non-Janney domain email address outside of this portal. To send the encrypted email to your accountant, lawyer, spouse, or other person, please share their contact information with your Financial Advisor. From there, your Financial Advisor can send them the information in an encrypted format.   

Peace of Mind: Notice the “Digital Signature is Valid” with the checkmark in green text. This is an acknowledgement to confirm that a verified sender, your Financial Advisor, sent you this message.

Helpful Tips: For reference, the Proofpoint Portal does not have a “sent items” folder. To obtain a copy of any messages you send, you must select “Send me a copy” before forwarding or replying to a secure message. Doing so will send a copy of your reply to your inbox for your records.

 

 

Forgot Password Instructions:

If you forgot your password, when you attempt to open an encrypted email in the log on screen, select “Forgot password”. You will be prompted to enter a new password (one you have not used before) in this application.

1) Select “Forgot Password” - Follow the prompts on your device.

2) You may see an on-screen confirmation that the request was sent to your inbox.

3) Select the email with the password reset.

4) Select the URL to open it and reset your password.

Your password must meet the following criteria:

  • Password must be 10-20 characters long.
  • At least one digit (0-9) is required.
  • At least one symbol character is required.
  • Both uppercase and lowercase characters are required.
  • Your username may not appear in the password

5) Once you have entered the new password, select Continue” – You should now be able to see your encrypted messages in the Janney Portal.

Note: These messages may show “Proofpoint”; this is the secure vendor Janney uses for the encryption process.

Why does Janney use encrypted email?

Encrypted email helps protect your personal and financial information. It ensures that only you and your Janney Financial Advisor can view sensitive messages, adding an extra layer of security beyond standard email.

 


 

Why do I need to register the first time?

The first time you receive an encrypted email from Janney, you will be asked to create a password. This allows you to securely access future encrypted messages without repeating the full setup process.

 


 

Who sends encrypted emails?

Encrypted emails are sent by your Janney Financial Advisor or members of their team when sharing sensitive information. Always confirm the sender before opening a secure message.

 


 

What if the email includes an attachment?

If the email includes an attachment, do not open it right away. Select the “Click Here” link in the message first to complete the secure validation process. Once validated, you can safely view any attachments.

 


 

What are the password requirements?

Your password must meet the following criteria:

  • Between 10 and 20 characters
  • Include at least one number
  • Include at least one symbol
  • Include both uppercase and lowercase letters
  • Your username cannot be part of the password

Choose a strong password you can remember and do not share it with anyone.

 


 

What is the verification code email?

After registering, you will receive a separate email from Proofpoint Encryption containing a one-time verification code. This code confirms your identity and expires after 30 minutes.

 


 

What if I do not receive the verification email?

Check your spam or junk folder. If you still do not see the email, contact Janney Online Services for assistance.

 


 

How do I know the message is secure?

Once opened, the encrypted message will display the Janney logo and a green checkmark confirming the digital signature is valid. This indicates the message has not been altered and is secure.

 


 

Can I reply to an encrypted email?

Yes. You can reply directly within the secure portal. Replies and attachments sent through the portal remain encrypted.

 


 

Can I forward an encrypted email?

For security reasons, encrypted emails should not be forwarded outside the secure portal. If someone else needs access, include their email address in your reply and your Financial Advisor can send them a separate encrypted message.

 


 

Is there a file size limit for attachments?

Yes. Attachments are limited to 25MB when replying through the secure portal.

 


 

Should I log out after reading my message?

Yes. When you are finished, log out of the Proofpoint portal and sign out of your email to help keep your information secure.

Depending on your financial needs and personal preferences, as well as the fees and costs associated with those services, you may opt to engage in a brokerage relationship, an advisory relationship, or a combination of both. Each time you open an account, we will make recommendations on which type of relationship is in your best interest based on the information you provide when you complete or update your client profile.

If you engage in a brokerage relationship, you will buy and sell securities on a transaction basis and pay a commission for these services. Our recommendations for the purchase and sale of securities will be based on what is in your best interest and reflect reasonably available alternatives at that time. If you engage in an advisory relationship, you will pay an asset-based fee, which encompasses, among other things, a defined investment strategy, ongoing monitoring, and performance reporting.
